How to create a Dangerous Goods Consignment

In order to create a dangerous goods consignment, you need to provide the from, to, reference, date and time information as explained in the documents linked below for:

Create Consignment

Quick Consignment

Add the Dangerous Goods information:

Once you have added the shipping items then you will be able to assign the Dangerous Goods which are contained in the shipped item.

Clicking the Add DG Items link will result in the Add Dangerous Goods modal to appear. This will be where you will either:

  • Select a saved Company DG Item

To select a saved company DG Item type either the saved name or abbreviation into the search bar. A list of potential DG items will then be provided and you can select the relevant one.

The relevant input fields will then be populated with the saved items details. Adjust what is required and press the plus symbol as below.

The DG item will then appear in the Added DG Items section.

  • Providing the DG details

The alternate way to create a DG item for a DG consignment is to fill out the relevant fields in the Add DG items modal

Firstly type the UN number into the UN Number field. MachShip will then return all possible and valid Packing Group's (PG), Class/Subclasses (Class), and the Proper Shipping Name (PSN). You will need to select from the available options.

To finalize the DG item, you need to provide:

1. Container Type.

The container type or sometimes known as the receptacle will be how the DG item has been packaged.

Note: Pallet is not a compliant container type for DG documentation.

2. Number of Containers.

This will be the total number of the Container Type above.

Note: When DG items are added onto a consignment in MachShip this is done per Item on an Item stack.

For example, if I was adding 5 pallets which are 120x120x120 and 1000kg's and I was adding the same DG item to each, then when I enter it into the system, I would enter in the # of containers for only 1 of those pallets, for the example above let's say that was 6. MachShip will then calculate based on the total quantity of the stack on any of the paperwork and the EDI files sent to the carriers. For the example above this would be 30.

The compliant Container types are:

  • Aerosol (s)
  • Bottle(s)
  • Carton(s)
  • Demountable Tank(s)
  • Drum(s)
  • IBC(s)
  • MEGC(s)
  • Pail(s)
  • Pressure Drums(s)
  • Tube(s)

3. Aggregate Weight and Weight kg or litres.

All Compliant DG documentation requires the total volume of weight of the DG item. This needs to be set in either Kilograms or LitresMachShip requires you to provide the aggregate quantity as well as the units of that quantity.

Note: The Aggregate Quantity will be the total weight or volume of all of the containers but it is per item stack.

For example, if I had 5 pallets at 120x120x120 and 1000kg's and each pallet had 5 DG containers, with each container 500 grams of DG's, then the form would have:

(manually enter)

Number of containers - 5
Weight or Litres - KG
Aggregate Weight - 2.5

When MachShip then sends this information to the carrier or produces any documentation, it will then multiply this out over the stack so it will produce:

(automatically calculated)

Total Number of containers - 25
Weight or Litres - KG
Total Aggregate Weight - 12

4. Marine Pollutant

The DG Transport Document needs to know if a DG item is a Marine Pollutant. This will be a Yes or a No selected from the drop-down.

5. Temperature Controlled?

The DG Transport Document needs to know if a DG item needs to be Temperature Controlled. This will be a Yes or a No selected from the drop-down.

6. Is Empty DG Container?
This will be set to be true if you are sending an empty and uncleaned DG container.

7. Technical or Chemical Group Names

If the Proper Shipping Name (PSN) was to have N.O.S appended on the end or if the PSN was quite broad (this is set by the National Transport Commission) then you will need to provide a Technical or Chemical name that will further describe the type of DG Item.

Once filled press the plus symbol as below.

The DG item will then appear in the Added DG Items section.

In order to finalise the addition of the DG items for either method explained above, please select the Save button as below.

The dangerous goods information will then be visible underneath the shipping item as below.

Note: If you need to edit this for any reason simply click the edit DG item button.

Generate Routes for Dangerous Goods Carriers and Services (Create Consignment):

Please scroll down for the explanation on how to proceed with the Quick Consignment Method

Once the Dangerous Goods information has been added to the consignment select Generate RoutesMachship will return all available and applicable dangerous goods carriers.

MachShip will also undertake a compatibility check across the consignment to ensure that the freight can be compliantly transported together. If there are any conflicts these will be provided to the user via the warnings in the top right-hand corner.

An example is shown below:

Select the Carriers and Services.

If the consignment is compatible then you will find a list of the available carriers. Select the desired carrier and click Create Consignment. When the user selects to create the consignment they will be required to re-agree to the MachShip EULA (End User Licence Agreement). This is a secondary check to ensure that the user understands their obligations with regards to the transport of dangerous goods.

Note: You cannot select create consignment until the agreement has been successfully validated.

Select the Carriers and Services (Quick Consignment).

As the Quick Consignment creation method involves the user selecting the CarrierService, and Account with which they wish to consign the freight, MachShip will validate if the carrier can transport dangerous goods during the consignment creation process.

Before this check will be conducted you will be required to re-agree to the MachShip EULA (End User Licence Agreement). This is a secondary check to ensure that the user understands their obligations with regards to the transport of dangerous goods.

Should there be a carrier selected which cannot transport dangerous goods, or the selected carrier cannot take that type of dangerous goods you will be faced with the following error.

If the dangerous goods are incompatible then you will be shown an error like the following:

How to create a Dangerous Goods Manifest

Regardless of the consignment creation method undertaken all dangerous goods consignments will appear in the unmanifested screen.

To access this screen simply select Create/Manage and Unmanifested Consignments.

Or you can alternatively use the link here.

All dangerous goods consignments will be signified with an orange diamond.

Hovering over this diamond will provide you will a list of all the dangerous goods classes and subclasses on the consignment.

Once you have selected the consignments to be manifested, the manifest modal will appear and a user will have to make one final agreement to the Machship EULA (End User License Agreement).

This can be seen below:

Once agreed, the consignment(s) can be manifested to the carrier.

Common errors when Manifesting Dangerous Goods Consignments

Dangerous Goods Transport Document Not Printed

It is a legal requirement that all dangerous goods consignments have a copy of the dangerous goods transport document travel with it from consignor to consignee. This document will advise all authorities of the chemical type and danger should there be any incident. It is a requirement of MachShip that the dangerous goods transport document be printed before manifesting. Should this have not been completed the error will appear as below:

To fix this simply click the label link on the unmanifested consignment page:

Then Download and print the dangerous goods transport document.

You will then be able to re-manifest the consignment.

Incompatible Manifest:

MachShip will conduct a secondary compatibility check at manifesting time. If there are incompatible dangerous goods, these will be shown to the user and errors will appear as below:

Though it is well understood that dangerous goods compliant carriers can have segregation devices which would allow the transport of incompatible dangerous goods on a pickup manifest, MachShip requires that these incompatibilities be made obvious to the carrier by creating separate manifests. This will enable the carrier to ensure the driver has a segregation device or alternatively that there is a second truck to complete the pickup.
