Label Requirements and Constraints

Labels in MachShip are always generated as part of the consignment creation and paperwork workflow. It is important to understand the following constraints:

• Labels cannot be generated independently or as 'blank' labels without consignment data.
• Each label must be tied to a valid consignment with an assigned carrier and delivery address.
• This is a carrier compliance requirement, as the label barcode must contain carrier-specific tracking identifiers tied to a specific shipment.
• If you need to pre-stage labels or have a specific workflow requirement, contact support to explore alternative approaches within MachShip.

When printing off a Consignment label, Machship provides you with a few different ways to get this job done.

How to Navigate to Consignments

• Unmanifested Consignments - To get to this screen, from the top menu select Create/Manage, scroll down to the Consignments section and click Unmanifested Consignments.
  
  
• Active Consignments - To get to this screen, from the top menu select Create/Manage, scroll down to the Consignments section and click Active Consignments.
  
  
• All Consignments - To get to this screen, from the top menu select Create/Manage, scroll down to the Consignments section and click All Consignments.

• Consignment number via the search engine - To get to this screen, from the top right corner of the screen click on the magnifying glass to open the search engine.

Once the prompt has opened, enter your consignment number and it will auto-generate your consignment, see below:

Print Paperwork Prompt

To get this prompt to appear, you can either click on the orange circle icon or the drop-down cog. This will reveal a list of actions. Select Print Paperwork to bring up the prompt.

From here there are two ways you can obtain the Consignment Note Document.

Clicking on the printer that is aligned with Consignments, which will download only the Consignment Note Document or by clicking on the download button next to Zip All Paperwork. This will download all the paperwork that this consignment has produced.

With the item labels, Machship will give you some options to print. Just click on the drop-down arrow to see options.

Once you have clicked on these options, they will automatically download and will pop up at the bottom of your screen, as shown in the image below:

                               

Note: By default, MachShip can produce 200 #Item labels per con, which is the maximum limit upon generating labels. In case you have exceeded the limit and booked the consignment, you will need to directly contact the carrier to cancel the consignment and re-create the consignment with a breakdown of the first 200 batches and another con for the next batch, and so on.

 The Zip file will open up to a folder with all your documents, as seen in the image below. Double click on the label you would like to print and follow the prompts. 

If you have selected to just print a Consignment, it will open in a separate window. From this screen, click on the printer that is showing in the top right corner of the screen, and from there follow the prompts.

Bulk Printing Labels for Multiple Consignments

To download labels for multiple consignments at once as a single PDF file:

1. Navigate to View All Consignments (from the top menu, select Create/Manage, scroll to Consignments section, click All Consignments)
2. Apply any filters as needed (e.g., select 'Unmanifested' to filter for unmanifested consignments only)
3. Select the checkboxes next to each consignment you want to print labels for
4. Click the Actions dropdown menu
5. Select either:
   • Download Selected Item Labels (for standard label format)
   • Download Selected A4 Item Labels (for A4 paper size format)
6. The labels will download as a single PDF file containing all selected consignment labels

Important Note: While both the 'View All Consignments' section and the 'Unmanifested Consignments' section contain Actions menus with similar options, the bulk download workflow is designed to be used from the 'View All Consignments' page with appropriate filters applied. This ensures consistent filtering and selection behavior across your bulk operations.

Why the Consignments Option May Be Missing

Not all carriers require shipper-printed consignment notes. When a carrier handles their own consignment notes, the Consignments row will not appear in the Print Paperwork dialog.

In these cases, you only need to print and apply the Item Labels (available via the Items row), which carry the carrier barcodes needed for tracking. This is carrier-integration-specific behavior and is not an error.

If you notice a SAMPLE ONLY watermark across your documents. This is due to using the wrong system. Please ensure you are in MachShip Live. Examples are below:
