How to Edit a Quote in MachShip

When a saved quote is generated in MachShip from time to time you may find that there is a need to adjust and re-calculate the make-up of the quote including but not limited to adjusting the date, altering the locations or adding/subtracting items and dimensions. 

Below we will advise how a user would Edit a Quote in MachShip

How to navigate to View Quotes Page

Any Created and saved quote will show on the View Quotes page. This is accessed via Create/Manage and View Quote.

Find the quote you wish to edit via searching on any of the 
- MS Number

- Pickup and Delivery suburb or name

- Carrier

Once you have found your quote simply select the gear icon on the right and then select "Edit Quote"

This will bring you through to the edit Quote screen

In order to have generated a quote MachShip, you will need to have provided the platform with

- From Location
- To Location
- Item Dimensions
- Date and Time

You will find that these values will all be pre-set in the edit quote screen allowing for easy edit of the feature(s) that need to be altered these will be:

  • Pickup Suburb and Delivery Suburb

    Set the Pickup and the Delivery suburb in the boxes provided. 



    You will find that as you begin to type you can select from a list of possible options like the below. 



    Alternatively, you can select from either the Very Frequent Pickup or Very Frequent Delivery locations dropdowns.  

  • Despatch Date 

    Please select your desired 
    despatch date and time. This will be used to return a list of available services with a local carrier (such as Capital Transport) but also to return the transit times. 

  • Items: 

    Enter the items that are being delivered in this 
    section. All dimensions are in cms and all weights are in kgs. Note that these are LINE ITEMS so the weight should be item weight NOT total weight. MachShip will multiple out for totals. 



    • Very Frequent Items: It works similarly to Very Frequent Locations, it will allow you to select an item from your frequent item list if you have any. Once you select an item, it will add the item with its information to the item list, similar to the image below 



    • Item Name: This is an optional field. If what you type matches with a saved item, it will populate the item type and dimensions, if not, you will need to manually fill in all fields as they are all required 


    • Item Contents: This is also an optional field. This is where you can break down the contents of your shipping item. Once you have added the shipping item, you have the option to declare the item contents like below:

       You can enter the description, references, and quantity of the individual items or components of your shipping item.

The item contents will show like below. You can also remove, edit, duplicate it or move it to another shipping item:


Note: Item contents are optional and will not affect pricing.

  • Reference: 

    You are also able to assign a reference to the quote. Please note that every quote will be provided with an internal MS (MachShip) number reference as well. 

Generate Routes/Get Pricing

Once all the details are altered select Get Prices.

MachShip will return to you all of the available services that fit the From suburb and To Suburb, Date, Time as well as Item size combination. This will be listed in the sort order which has been set against your company. The default will be Price (low to high). You can also adjust this order by picking from the drop down along the summary bar.

The options will be:

Each Carrier Option will be returned with the ETA and the Price (inc fuel and GST) on the carrier tile, as below. 

Once you select the desired option, click on the tile and the carrier and service will expand providing a more detailed summary of the quote. 

The expanded carrier option tile will provide you with the below information.

  •  Quote details, Route and Items

The Details section will reiterate the quotes, pickup, delivery, carrier, service, account, despatch and ETA details for one last sanity check. 

The Route section provides the details of the transit, the from zone, to zone and also a link to the rate. Click this link and you will be taken to a detailed description of the rate used to calculate the price. 

The Items Section will re-iterate the items which have been used to calculate the rate. 

  •  Optional Surcharges

There are certain surcharges that cannot be calculated simply based on the pickup, delivery, and item provided when routing. An example of this would be a tailgate or hand unload the delivery. These will be presented under the Surcharges section. Click which ones should apply. 

  •  Price breakdown

The price breakdown section will provide the pricing broken down by Base price (Route and Surcharges), Fuel Price, GST, and Total. 

  • Dangerous Goods Declaration

If your company has access to create DG consignments and the quote being created has no DG items on it, then you will need to declare that the quote contains NO Dangerous Goods. 

Save the Quote or Create a Consignment

Once the information has been validated the user can choose to Save Quote or to Save the Quote and Create Consignment.

Save Quote

If you select to save the quote, then the quote will be saved and the user will be returned to the View Quotes grid. 

The grid will have a breakdown of the quote's details and the created date and expiry date.

The expiry date is set to be 30 days from the created date but this can be edited by selecting the calendar option and changing the date. Once a quote has expired it will disappear from the grid. 

Save Quote and Create Consignment

This will save the quote take the user through to the Create Consignment Screen. The Create Consignment details will be set with all the information provided from the quote.
