How to Create an International Quote in MachShip

How to Create an International Quote in MachShip

Quoting in MachShip is the simplest and quickest method in which to obtain a price and an ETA for your transport movement.

How to navigate to create a Quote

The Create Quote page is accessed via Create/Manage and Create Quote.

Alternatively, the page can be accessed at the following link.

Create a Quote screen

To generate a quote in transport, you will need to have the following:

- From Zone
- To Zone
- Item Dimensions
- Date and Time

For an International Quote, you will also need to provide the CountryProvince/City or Both and the Postcode/ Zipcode

MachShip will allow you to consign internationally either from or to Australia - Import or Export. To set which method of consigning you would wish to utilise, please set the International Pickup or International Delivery flags as yes

Once done you can specify

  • Pickup and Delivery Location

Carriers group pickup and delivery suburbs in collections called Zones. The carrier sets up these zones and suggest that the pricing or transit time is the same.

So MachShip can return the pricing zones, set the Pickup and the Delivery suburb in the boxes provided.

You will find that as you begin to type you can select from a list of possible options like the below.

Alternatively, you can select from either the Very Frequent Pickup or Very Frequent Delivery locations dropdowns.

For an International Address, you will need to provide

Country (required) This will be the country where the pickup or delivery will take place. This needs to match one of MachShip's master fields. To return a country type in the 3-digit alpha code or the country name and select from the typeahead that returns

    Province / City or both
     - free text field and should be the locality identifier in the country for the pickup or delivery
Postcode / Zip Code - Free text field where you would supply the postal identifier for the delivery to take place.

  • Despatch Date
    Please select your desired
despatch date and time. This will be used to return a list of available services with a local carrier (such as Capital Transport) but also to return the transit times.
  • Items:
Enter the items that are being delivered in this
section. All dimensions are in cm's and all weights are in kg's. Note that these are LINE ITEMS, so the weight should be item weight NOT total weight. MachShip will multiple out for totals.

    • Very Frequent Items: It works similarly to Very Frequent Locations, it will allow you to select an item from your frequent item list if you have any. Once you select an item, it will add the item with its information to the item list, similar to the image below

    • Item Name: This is an optional field. If what you type matches with a saved item, it will populate the item type and dimensions, if not, you will need to manually fill in all fields as they are all required

    • Customs Fields - add item Contents: In order to allow for a smooth transfer through customs, it is critical that you supply the customs fields in the item contents section - note you will only be able to proceed to a quote if you provide this information. To access Item Contents select the below

Selecting this will prompt the following:
      Details to supply will be

      Description -
The description of the goods being imported / exported

Reference 1, Reference 2, Reference 3, CL Marks and Numbers, Part Number -
These fields will all identify either the object or the invoice/order

      Quantity -
Quantity of the physical goods being shipped - note this will be different to the item quantity above, if it was 5 t-shirts packed in a carton then the quantity is 5

      Harmonized Code -
The global customs identifier for the class of goods being shipped

      Purpose -
This must describe the reason for sending the goods. Needs to match up with a known classification reason i.e sale, gift, return etc.

      Country of Manufacture -
Will identify where the product was manufactured. You will need to select this from the drop-down of allowable MachShip values.

Unit Dollar Value -  This is the commercial dollar value of the goods in AUD - you would put in the value of one of the items and MachShip will then multiply out for the total

Add multiple by selecting the plus icon after filling the form out, or add to the consignment by selecting Save

  • Reference:

You are also able to assign a reference to the quote. Please note that every quote will be provided with an internal MachShip (MS) number reference as well.

Generate Routes/Get Pricing

Once all the details have been set select Get Prices.

MachShip will return to you all of the available services that fit the From Suburb and To Suburb, Date, Time as well as Item size combination. This will be listed in the sort order which has been set against your company. The default will be Price (low to high). You can also adjust this order by picking from the drop-down along the summary bar.

The options will be:

Each Carrier option will be returned with the ETA and the Price (inclusive fuel) on the carrier tile, as below.

Once you select the desired option, click on the tile and the carrier and service will expand providing a more detailed summary of the quote.

The expanded carrier option tile will provide you with the below information.

  •  Quote details, Route and Items

The Details section will reiterate the quotes, pickup, delivery, carrier, service, account, despatch and ETA details for one last sanity check.

The Route section provides the details of the transit, the from zone, to zone and also a link to the rate. Click this link and you will be taken to a detailed description of the rate used to calculate the price.

The Items Section will re-iterate the items which have been used to calculate the rate.

  •  Optional Surcharges

There are certain surcharges which cannot be calculated simply based on the pickup, delivery, and item provided when routing. An example of this would be a tailgate or hand unload delivery. These will be presented under the Surcharges section. Click which ones should apply.

  •  Price breakdown

The price breakdown section will provide the pricing broken down by Base price (Route and Surcharges), Fuel Price, and Total.

  • Dangerous Goods Declaration

If your company has access to create DG consignments and the quote being created has no DG items on it, then you will need to declare that the quote contains NO Dangerous Goods.

Save the Quote or Create a Consignment

Once the information has been validated the user can choose to Save Quote or to Save the Quote and Create Consignment.

Save Quote

If you select to save the quote, then the quote will be saved and appear in the View Quotes grid.

The grid will have a breakdown of the quote's details and created date and an expiry date.

The expiry date is set to be 30 days from the created date but this can be edited by selecting the calendar option and changing the date. Once a quote has expired it will disappear from the grid.

Save Quote and Create Consignment

This will save the quote and take the user through to the Create Consignment Screen. The Create Consignment details will be set with all the information provided from the quote.
