How to add an attachment to a Consignment

MachShip provides the option to attach files to a consignment so that all relevant information is accessible in the one location. 

Automatic vs. Manual Document Upload

Note: MachShip supports MANUAL document upload to individual consignments via the Att column which is described below. There is also API functionality to automate uploading. If you need to attach documents to multiple consignments, you must upload each document manually to the corresponding consignment or code this via your API integration. For carriers that support FTP/SFTP/API transmission via a push or pull mechanism automatic POD uploads will be available—contact your carrier to confirm their integration capabilities with MachShip. Should they wish to have this setup please have them contact carriers@support.machship.com

How to navigate to Consignments

  • Active Consignments - To get to this screen, from the top menu select Create/Manage, scroll down to the Consignments section and click Active Consignments.
  • Completed Consignments - To get to this screen, from the top menu select Create/Manage, scroll down to the Consignments section and click Completed Consignments.
  • All Consignments - To get to this screen, from the top menu select Create/Manage, scroll down to the Consignments section and click All Consignments.

Once you have selected one of these, it will take you to a screen that will look similar to this. On the far right of the grid, you will see a column that has been marked Att. If you view this column, you will see a numeric value depending on how many Attachments you have saved. In the image below you will see Zero as we are yet to save any attachments. Click on the Zero.



Clicking any number in the column will open up a Attachments prompt. Click on Add Attachments.

 

This will bring up another prompt, from here you will be able to search through all of your folders to where you have saved the item you would like to Attach. Select and click Open.

 

By clicking Open, it will bring you back to the original screen Attachments. Select Upload to start the process of importing the Attachment.


 

Once the Attachment has successfully uploaded with no errors, a green prompt will display in the top right corner of the screen stating Worksheet was uploaded successfully.

 

Close the prompt, returning you to the View All Consignments screen. Here you will be able to notice a change in the Att column.

 

To ensure what you have uploaded is correct, click on the numeric value in the Att column. This will open the Attachments prompt. Here you will be able to review your upload. Attachment Information will be the Filename and the upload date and timeView Attachments will be a small image of the attachment. 

How to Delete or Remove an Attachment

If you need to remove an attachment from a consignment, you can do so through the Attachments modal:

  1. Navigate to the consignment (Active, Completed, or All Consignments)
  2. Click the cog wheel icon on the consignment row and select 'View Attachments' (alternatively, click the number in the Att column)
  3. In the Attachments modal, locate the attachment you wish to delete
  4. Click the delete button (trash icon) next to the attachment
  5. Confirm the deletion when prompted
  6. The attachment will be removed from your MachShip records

Important Note: Deleting an attachment from MachShip removes it from your records only. For POD (Proof of Delivery) attachments, the carrier retains the original POD data in their system. If your concern relates to the validity or authenticity of a signature (e.g., signed by an unauthorized person), this cannot be resolved through MachShip's attachment management and must be escalated directly to the carrier for investigation.
